Vacancy: Executive Assistant for MEP Karen Melchior

Karen Melchior’s office is recruiting an experienced Executive Assistant / Office Administrator (English, French, and preferably Danish) to join her team in Brussels on a full-time basis.

We are looking for a highly competent administrator to provide first class support to the MEP. You will be the cornerstone of the office and enable the success of the entire team through your handling and prioritisation of incoming information. So the ideal candidate is calm in a storm and enjoys empowering their colleagues. 

Your main tasks and responsibilities as Executive Assistant will be

  • Proactive diary management and scheduling, ideally including logistics of travel and accommodation.
  • Filter and handle enquiries, emails and correspondence; 
  • Manage documents to ensure that the MEP is fully prepared for all engagements.
  • Coordination of team, preparation of papers and presentations;
  • Administer the regular meetings of the team, including preparing agendas and team input and following up on action points.
  • Maintaining a rigorous approach to accounting, filing and information management.
  • Ensure appropriate hospitality is extended to guests.
  • Other administrative support, as required.

You may also occasionally be asked to assist Karen in her work in the FEMM committee; represent Karen in meetings with stakeholders and within Renew-Europe.

Some of your competences, qualifications or experience

You can communicate with a wide range of stakeholders, organise anything anywhere, ‘manage up’ where appropriate, and be diplomatic, tactful and discreet in everything you do.

You know your way around Microsoft Office, Teams and Outlook, and are not afraid of new IT tools. In addition, you have strong analytical skills and know how to search for and absorb relevant knowledge on a tight deadline.

You are a person with knowledge about how the European-Parliament works in practice and/or large organisations. You are stable and comfortable with routines, systematic in your approach to daily tasks and unafraid of complex workflows. 

You pay attention to detail and deadlines, while prioritising multiple demands. You are able to filter information and assess priorities in order to manage own workload and that of the MEP. You think ahead proactively, anticipate needs before they arise and take initiative.

Experience 

You have experience as an administrative, executive assistant or PA role in a fast-paced environment of parliament, large company or organisation.

How we work as a team

Karen Melchior’s office consists of three other accredited assistants, typically supported by two interns. Karen is a member of the Renew Europe-group in Parliament, and we work closely with the group secretariat as well as other Renew MEP offices.

Working hours, location and salary

Full time (40 hours per week), with flexible working hours around the parliamentary calendar. Overtime is strictly regulated in our team and may not exceed 150 hours over a 6-month period.

Place of work will be Brussels with regular missions to Strasbourg (plenary sessions) and Denmark. Salary is competitive and according to the MEP assistant grade system. Grade placement according to experience and education.
